Administrative Assistant/Secretary
Position Description:

As an Administrative Assistant you will work directly with the account managers by assisting them on all administrative tasks. This includes providing estimates, putting jobs into production, and managing suppliers. Your job is to make sure our Account Managers can spend as much time as possible in front of our clients, and not on their computers. In other words, your job is super important.

Required Skills:
- High level of comfort with computer technology including CRM, Microsoft Office and project management tools

- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Key Responsibilities:
- Direct completion of client projects – estimating, writing work orders, securing and developing artwork, and anything else necessary to service the client and the production team
- Direct ongoing contact with all clients and prospects
- Answer and direct phone calls
- Enter all orders into appropriate order entry system (internal or external supplier systems)
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies and research new material opportunities and suppliers
- Maintain contact lists
- Communicate effectively with the Owner, the Sales Team, the PrePress team and the Production Team, informing and updating them regularly to guarantee that sales and customer objectives are met
- Participate as a key team player by supporting operations as needed
- Acknowledge and appropriately greet and assist every customer in a timely manner
- Process customer orders and estimates in a courteous, efficient and timely manner
- Organize workflow to meet customer deadlines
- Manage telephone calls professionally, efficiently and with good communication skills.

Junior Graphic Designer
Pacesetter Enterprises, Inc. is a full service marketing partner. Our company consists of a marketing division as well as on-site print production facilities and warehousing/fulfillment services. Our unique mix of services affords us some unique projects and opportunities!
We are currently looking for a passionate Junior Graphic Designer with experience in both print and digital media to join our team. Our ideal candidate will be able to seamlessly translate written or verbal direction into successful designs as well as assist in the execution of production files. They should have an interest in full service marketing solutions, especially in the manufacturing and higher education sectors, to support our clients’ needs.
We work in a fast-paced environment, so the ideal candidate will be able to adapt quickly and be comfortable learning and excelling at the unique tasks of the job. We are a small team that values independent, innovative team members that raise the entire ship. We want this individual to grow at the company and are looking for someone whose goal is to learn.
Applicants with experience in marketing and social media management will be given prime consideration.
Strong organization and management skills are required as is a proficiency in software applications such as the Adobe Creative Suite and Microsoft Office.
Duties
- Provide unique ideas and innovative solutions for client marketing efforts, as well as internal marketing efforts and Pacesetter products
- Create and implement online marketing collateral such as email and social campaigns
- Execute new creative, flush out supplied concepts, and follow pre-existing brand guidelines
- Repurpose, rework and revise existing content from files or physical examples as needed
- Set up and execute direct mail campaigns and customer mailings, including mail merging and variable data manipulation
- Design and production of marketing materials and literature
- Complete other duties, assignments and special projects as requested
Requirements:
- Bachelor’s or Associate degree in Graphic Design or comparable degree
- Personable, presentable and articulate
- In-depth knowledge of multi-platform strategies that include digital, social, web and print
- Knowledge of the creative process and general creative workflow
- Knowledge of PC platform, Microsoft Office, Adobe Creative Suite
- Working knowledge of basic web languages (html, CSS)
- Desire and ability to learn new software applications
- 1-3 years design experience
- Strong marketing knowledge
- Strong attention to detail
- Excellent verbal and written communication skills
- Excellent interpersonal skills
- Effective time management and organizational skills
- Ability to work independently as well as in a team environment
- Ability to handle multiple projects simultaneously within established time constraints
- Ability to work professionally with customers and co-workers to efficiently serve both with enthusiasm and respect.
