Administrative Assistant/Secretary

Position Description:

What does that mean? It means we create great marketing strategies, and then produce all the collateral that supports those plans.      

 

As an Administrative Assistant you will work directly with the account managers by assisting them on all administrative tasks.  This includes providing estimates, putting jobs into production, and managing suppliers. Your job is to make sure our Account Managers can spend as much time as possible in front of our clients, and not on their computers. In other words, your job is super important.

Required Skills:

  • High level of comfort with computer technology including CRM, Microsoft Office and project management tools

  • Personable, presentable and articulate
  • Willingness to learn new software applications
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

 

Key Responsibilities:

  • Direct completion of client projects – estimating, writing work orders, securing and developing artwork, and anything else necessary to service the client and the production team
  • Direct ongoing contact with all clients and prospects
  • Answer and direct phone calls
  • Enter all orders into appropriate order entry system (internal or external supplier systems)
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order office supplies and research new material opportunities and suppliers
  • Maintain contact lists
  • Communicate effectively with the Owner, the Sales Team, the PrePress team and the Production Team, informing and updating them regularly to guarantee that sales and customer objectives are met
  • Participate as a key team player by supporting operations as needed
  • Acknowledge and appropriately greet and assist every customer in a timely manner
  • Process customer orders and estimates in a courteous, efficient and timely manner
  • Organize workflow to meet customer deadlines
  • Manage telephone calls professionally, efficiently and with good communication skills.

Graphic Designer

The primary role of the Graphic Designer will be to assist the Marketing department in the design and execution of internal and external marketing campaigns. They will work closely with the Marketing Assistant to develop the best strategy and concepts for our direct mail, e-mail, company website and campaign materials.

Additional requirements/preferences:

  1. Knowledge of PC platform, Adobe Creative Suite and Microsoft Office (proficiency in InDesign, Photoshop, Illustrator and Excel preferred)
  2. Understanding of file preparation for intended media output (i.e. print, email and web)
  3. Willingness to learn new software applications
  4. Knowledge of HTML (ideal, but not required)
  5. Knowledge of Premier or other video editing software (ideal, but not required)
